Job Description:

Our General Contracting client company needs someone to administer and coordinate purchasing activities for large extensive wastewater construction projects to support construction schedules.

 

TYPICAL DUTIES:  

  • Prepare draft purchase order and subcontracts based on input from Estimating
  • Review scopes and additional information with the specifications with Project Manager/Estimators to confirm completeness and accuracy
  • Obtain proposals, as needed from potential suppliers for field orders
  • Negotiate blanket purchase orders with key vendors
  • Negotiate commercial terms and conditions of purchase orders and subcontracts with suppliers
  • Follow-up to ensure all purchase orders, subcontracts and change orders are signed and returned by suppliers promptly
  • Establish purchase orders and subcontract priorities with each Project Manager
  • Negotiate unit pricing on bulk purchasing and early payment discounts with vendors
  • Develop short forms for purchase orders and subcontracts
  • Maintain material control register (log) for all projects
  • Make entry in Expedition and SharePoint of purchase orders, subcontracts and change orders
  • Issue change orders and back charges to purchase orders and subcontracts based on Project Managers input
  • Collect and review bonds of subcontractors in accordance with company bonding policy
  • Repair & Maintenance job review and prepare for bids, bid forms
  • Repair & Maintenance job bonds and Insurance requests
  • Attend Meetings: Weekly meetings, Monthly Project Manager meetings and Project Review meetings
  • Assist with SBE/DBE goal achievement
  • Notify suppliers and subcontractors of any state or federal project specific requirements
  • Dunn & Bradstreet report reviews on subcontractors
  • Research vendor/supplier prices, delivery dates, etc. through written bid or verbal quote.  Prepare bid summaries/evaluations
  • Expedite – follow up to ensure timely delivery of purchase order materials required by engineering and /or other construction departments
  • Interface with client, A/E and vendors to insure all purchasing requirements, problems,  are met/resolved
  • Support Estimating with obtaining quotes for bids
  • Support Estimating on bid day scope and quote review

 

SKILL, KNOWLEDGE, QUALIFICATIONS & EXPERIENCE:

  •  Four year (technical or business) degree or equivalent combinations technical training and/or related experience
  • Minimum 8 year material/equipment purchasing and expediting experience related to construction or equivalent industry, including past purchasing agent experience
  • Advanced knowledge of procurement/ vendor inspection techniques and requirements, account, financial management and business contract law preferred
  • Advanced computer skills including Word, Excel, and Outlook. Expedition and SharePoint experience helpful
  • Demonstrated effective communication, negotiation, and interpersonal skills are essential
